Integrating PolicyCo into your existing Learning Management System (LMS)

April 26, 2022

Organizations routinely utilize an LMS to ensure their employees know how to perform their jobs and understand their rights and obligations. A proper LMS does a few things well:

1. Present content to end-users in a meaningful way

2. Notify users of new training content

3. Track the progress of user assignments

4. Optionally test the user for proficiency

5. Generate reports around user activity for auditing and compliance

The above list is not exhaustive, but it’s enough to set the stage for how PolicyCo can play nicely with your LMS.

Populate LMS Content by Exporting Documents from PolicyCo

Exporting documents from PolicyCo is the most straightforward approach to populating LMS content. You already use PolicyCo to maintain strict versioning of your policies and procedures, so you’ll need to download each document as a Word or PDF document and upload it to each lesson. By sourcing your documents from PolicyCo, you can ensure that the correct document is being provided for each lesson plan. Another benefit is that the document is viewable within the LMS, limiting any confusion your members may experience while completing the lesson plan.

Populate LMS Content by Hyperlinking to PolicyCo Documents

LMS platforms are often static. Administrators upload content as Word documents, images, and PDFs as a series of lessons. These documents can change and keep their LMS courses current as a company evolves. As content changes within organizations, the LMS must be manually updated.

A more efficient way to handle this might be to reference documents kept up to date in the PolicyCo platform. The hyperlink will always point to the most up-to-date version of a policy or procedure in this scenario. There can be hundreds of procedures in organizations with complex training requirements, and keeping this current requires a massive coordinated effort to ensure content stays current.

Let’s see how this plays out practically. As you design your lesson plan in the LMS, you will still need to provide the structure for the course, including a title, description, goal, and any optional or mandatory testing requirements. I find it’s almost always a good idea to ask a question or two about the content to make sure your student absorbed the information.

About: In this lesson, you will learn about the requirements for password complexity.

Once users have viewed the content, they can return to the LMS to take a short quiz or attest. Depending on the capabilities of your LMS, our team would love to develop tools that allow you to embed dynamic content in your LMS. If you have this need and would like us to assist with integration, we’d like to have that conversation. Our goal is to simplify policy management by establishing a common-sense approach to versioning, control mapping, procedure linking, and control test validation.
